2. Approval of Minutes of last years AGM
1.The AGM meetings minutes held on 16th May 2019 were approved & will be circulated and signed when this is possible (due to Covid-19 restrictions).

4. Treasurer’s Report
1.See attached ‘Financial Report 2019-20'. As we could not hold an AGM meeting in person in May 202 due to Covid-19, this AGM is for the finance year ending March 2020.
2.The current bank balance 14 January 2021 is £4011.92
3.The group has received additional funding during 2019-20 from tea and coffee sales at the events such as the Spring Sales; donations; sales commissions during the year which has boosted the bank balance. The Trail itself lost monies this year.
4.The group has received additional funding during 2020-to date from increased membership, Easy Fundraising donations £26.58 (£389 overall to date) and the Waitrose community grant £147.
5.During 2020 we had costs from the Spring Sale flyer printing (event cancelled); Zoom subscription; fees for Taste of Timsbury event (cancelled). The Virtual Trail itself lost monies this year of £250 due to advertising costs. We noted that the ‘physical’ Trail itself in previous years has not covered it’s costs.
6.For the coming year, the group has kept a reserve amount, but we anticipate less grant income from the Parish Councils as we can’t hold events or workshops. We will not be holding the Members Day, Workshop Day and probably also the Spring Event. We hope to hold a ‘real’ Arts Trail on 6th 7th November 2021. We are generating additional income from Easy Fundraising and urge members to register and support the group. We are not proposing to increase the membership fee this year.

5. Approval of 2019-20 Accounts
1.The accounts were presented for the records. They will be approved and signed when this is possible after the Covid-19 lockdown/restrictions are no longer in place.
6. Membership update
1.The group has 58 members.
2.Please contact Kate if you have any changes to your details (address etc).
3.Membership renewal will be in March, for the new year starting in April 2021. Details will be sent out.
4.Many thanks to Sheila for her support to the group and on the committee; and welcome to Kate and thanks for taking over as Membership coordinator.
7. Publicity Report
1.Alison presented the attached report.
2.Our database of contacts is now approx. 1500 people, which is a great resource.
3.EasyFundraising 24 members registered. Please register as it is great way of raising money for the group, and remember to log in and support us when you make online purchases.
4.Many thanks to Alison for her continued work during the year. Alison asked that if anyone wishes to help/shadow her during this year, please let us know.
5.Thanks to everyone for their help with promoting the group. Particular thanks to Alison, Gina, Karen and Lucy for the print articles and social media posts during the Virtual Trail.
8.Nomination of committee members for 2020/21
1.There are 10 places on the committee.
2.Shelagh, Sheila and Helen are standing down. Many thanks for their support to the Group. Shelagh has coordinated the grant fundraising, successful applications for funding, and reports. Sheila has been involved with the group since we began and has been the membership coordinator, which she’s handing over the Kate. Helen has also helped, advised and supported the committee since we began. A big thanks to all of you.

Everyone is volunteering their time, and there are many people with skills in many areas, that would be of value to the group. If you can all consider offering to help the group in any way, no matter how small this may be, please consider supporting the Committee.
9.Equal Opportunities Policy:
1.The draft policy was presented and discussed.
2.There was discussion and several amendments suggested. The draft policy with these suggested amendments is attached.

4.The revised draft policy will be circulated for adoption at the next AGM.
10.Virtual Arts Trail November 2020
1.Karen gave the group feedback on the first Virtual Arts Trail.
2.Thanks to Karen and Gina for the website and co-ordinating the social media publicity.
3.Although there weren’t as many sales as the ‘real’ Trail weekend, we had lots of positive comments on the quality of the website; the videos and talks and live workshop events.
4.The arts trail pages were kept live to extend the event and we created a further online event ‘Christmas with Cam Valley Arts’ to further support our members.
5.Judging the success of our first online event is always going to be difficult, as we want to compare it with a face-to-face trail. We felt that this year reminded us that our Arts Trail is a strong community event, taking place in our local Halls and studios and this is of great value.
6.There was discussion on all the new skills many artists had gained by taking part in the Virtual Trail, such as photographing work; videos; promotion and social media. Terry also added that having an online/ website presence does sell artwork. Thanks to Catherine who ran a live workshop during the trail weeks.
7.We felt that with so many trails and art exhibitions going online this year, online demand was saturated. It is a challenge in re-creating the reality of seeing artwork and it is more difficult and challenging for people to buy online when they can’t see and touch the real artwork.
8.It was also felt that many of our supporters and visitors do not always use social media or buy online, and that we should make full use of our mailing list and email. There is also a value of members being on Facebook, Instagram and Twitter to promote your work, and reach different audiences.
11.Arts Trail 6,7 November 2021
1.The Trail will be a ‘real’ event in our local Halls and Venues – as long as this is possible in November!
2.There will be a smaller ‘online’ website presence afterwards.
12. A.O.B
1.We are not planning to hold any events while the Covid-19 restrictions and lockdowns are in place and until it is safe to book venues and have face-to-face activities. We will not be holding the Members Day, Workshop Day and probably the Spring Event. We will also be scaling back our involvement in local events such as community fetes, school arts activities and festivals during the Summer and focussing on the November Trail.
2.We will continue to hold group meetings on Zoom, and promote artists own work and events, if the details are forwarded to the committee. Please tag @camvalleyartstrail - otherwise we won’t see the post.
3.All the members present at the meeting expressed their thanks for the last year, all the activities of the group and good luck for the next year
4.Sophie reminded everyone to include a reference on their payments. Please write what the payment is for, instead of your name (as space is limited). Also make a separate payment for each item.

Chair's report: AGM 14th January 2021
Well what a year we’ve just had - this AGM is well overdue. We had a very busy 2019 and were gearing up for an equally busy 2020 then as we all know COVID struck. So here's a recap of what we've achieved since our last AGM (May 2019).
As well as supporting High Littleton & Hallatrow Village Day in August most of our efforts after the AGM were planning our 2019 Arts Trail; a fabulous event with 51artists & organisations showcasing their work, hosting demos and workshops in a mix of halls, schools and studio venues. Looking back at the 2019 brochure I am reminded how proud I am of the quality of artwork and the variety of free workshops we offered to the community.
January 2020 started positively with our members day; a chance for members to share their skills and to learn and be inspired by each other. It was a great chance to get to know each other better in a creative environment. This was followed by a very successful fundraising workshop day in February. If my memory serves me correctly it raised in the region of £500 which we set aside to support the taster workshop sessions we offer at our annual arts trail. Thanks to all members that supported us in these events. Our spring sale was arranged for the 28th April and for the first year ever we had been really organised with the signage and publicity material ready in good time - then Lockdown 1 was announced, the event was cancelled and we had to absorb those expenses - thank goodness for healthy finances!
So 2020 and COVID how have we fared? During lockdown we have tried to keep in touch with members sharing ideas on how to remain creative, sharing online exhibitions and courses, set mini challenges and generally kept in touch in what has been a difficult time. We've been having meetings via zoom which, although not perfect and a technical challenge to lots of us, have been a good way to reconnect with each other.
We are glad that we made the decision for the 2020 Arts Trail to be virtual given COVID continued to affect how we live. It was a rich and vibrant event with video tours of studios, demos, workshops and work for sale. However, nothing beats a real face to face event - it didn’t match the feel of what is a community event and sales were much lower but we created a wonderful platform for our members to share their work with the community. And as we approached Christmas we set up a 'Christmas with Cam Valley' page on our website to again help members share their work. It has been good to see so many members embracing new skills; video making & editing, time-lapse photography, virtual galleries etc. On a personal note I'd like to say a huge thank you for the £200 in jacksonsart.com vouchers I was given as a thank you for the work I'd put into creating the virtual CVAT Arts Trail. I have already spent most of it on new materials I wouldn't normally purchase and am looking forward to experimenting!
As we start 2021 everything is still very uncertain with COVID so it won't be a surprise that we’re not having a member day and we won’t be hosting a workshop fundraising day. At the moment the spring sale (normally in April) seems unlikely. We are definitely not going to prepare in advance for events that may be cancelled. So our main focus for 2021 will be our 9th Arts Trail on the 6th & 7th November. We're hoping that we'll be able to host our normal face to face event and to extend it with an online presence. The Arts Trail is supported by many organisations and I'm sure you'll be saddened to hear that Jeff Sluggett, manager of the Conygre Hall, Timsbury, died just before Christmas. He supported CVAT in all we did and the place won't be the same without him. He will be sadly missed.
2020 was our 8th year as a group and I have to admit that the committee including myself really need the time to recharge our batteries and focus on our own work - you may not know that we're all individual artists who volunteer our time to run this group. 2020 also gave me time to think about my own art and how I use my time. I realise that I need to reduce the amount of time I put into CVAT and focus more on my work. So the group will need more members to get involved to share the load.
I'm sorry to see 3 of our committee, Sheila, Shelagh and Helen, stand down this year; they have been a fantastic help over the years. This does offer an opportunity for other artists to join the committee; the group is in a good financial position and we have a strong member base so new committee members would have lots of support. If you're considering joining us then please make yourself known - you'll be warmly welcomed.
